Specification1 Reception switchboard
Manage the reception switchboard by answering and screening incoming calls and transferring these or enquiries to the relevant person or correct department.
Accurately take down messages and communicate these to the relevant individuals.2 Reception front office and visitors
Welcome external clients or stakeholders by greeting, welcoming, directing and announcing them appropriately.
Inform the relevant staff member of their arrival.
Manage the front office image through ensuring the reception area and meeting rooms are kept neat and tidy.
Ensure reception is tidy and presentable with all necessary stationery and material.3 Meeting rooms
Update calendars, book and manage board rooms and other venues for meetings.4 Mail and courier service
Manage mail and courier service both incoming and outgoing courier and postage distribution and delivery.
Open and date stamp all general correspondence received, ensuring that the mail/post is distributed correctly.5 Admin duties
Manage the filing room ensuring it is kept neat and tidy.
Pulling and distributing client monthly reports.
Supporting operations with refund resolution from external service providers by making sure that follow ups are done continually on a weekly basis until variance can be closed.
Assisting the balance of the admin team at specific periods of the month.
Support of creditors invoice recovery.
RequirementsEssential Academic Qualifications
•Grade 12
•2 years’ experience in switchboard, reception and office practice
•Drivers licence
